Institutional Policy

Admissions Policy

1. Purpose
The purpose of this policy is to establish a transparent, consistent, and fair admissions framework for all programmes delivered by the Falesia Jovial International Career Institute (FJICI).
This policy ensures that every applicant is evaluated objectively and that admissions procedures comply with institutional, ethical, and quality assurance standards.

2. Scope
This policy applies to all prospective students applying for FJICI programmes worldwide — including Language Courses (English, German, French) and Adaptation Programmes (Healthcare and Hospitality) — delivered either online or on-site in the United Kingdom and Europe.
It also applies to all staff and authorised agents involved in recruitment, admissions, and enrolment.

3. Policy Principles
FJICI is committed to maintaining an admissions process that is:
3.1 Transparent: Applicants receive accurate and up-to-date information about programmes, entry requirements, fees, and refund policies.
3.2 Fair and Inclusive: All applicants are treated equally regardless of gender, nationality, or background.
3.3 Ethical: All recruitment and admissions activities comply with the Code of Conduct for Agents and institutional quality standards.
3.4 Quality-Assured: Admissions procedures are monitored and reviewed regularly under FJICI’s Quality Assurance Framework.
3.5 Confidential: All personal and academic data are processed in accordance with the Office Security, IT, and Information Handling Policy issued by the Falesia Jovial Group.

4. Programmes Covered
This policy governs the admissions and pre-enrolment processes for:
4.1 Language Courses: English, German, and French (online or in-person).
4.2 Adaptation Programmes: Healthcare Adaptation and Hospitality Adaptation (delivered in the UK, Germany, or France).
Any new or revised programmes will undergo approval through the Quality Assurance Review and Management Approval process before inclusion in future versions of this policy.

5. General Eligibility Requirements
5.1 Language Courses

  • Applicants must be 18 years or older.

  • No academic prerequisites are required.

  • Basic literacy, motivation, and access to a stable internet connection (for online courses) are expected.

5.2 Adaptation Programmes

  • Applicants must be 18 years or older.

  • A relevant educational or professional background in the field of study (Healthcare or Hospitality) is preferred.

  • Adequate language proficiency (English, German, or French) according to programme location.

  • Successful completion of an admissions interview assessing motivation, communication, and readiness.
     

6. Admissions Process Overview
The admissions process varies depending on the type of programme. Each follows a clear, step-by-step framework to ensure fairness, compliance, and efficient enrolment.
6.1 Language Courses (English, German, French)

  1. Application Submission: Applicants submit an online form via FJICI’s website or through an authorised agent.

  2. Document Submission: Applicants provide a valid identification document (national ID or passport).

    • A passport is required only for in-person UK campus students for safeguarding and verification purposes.

  3. Payment of Fees: Applicants pay the Application Fee and Tuition Fee as indicated in the official Fee Schedule.

  4. Student Agreement: Once payment is confirmed, FJICI issues the Student Agreement, which the student signs and returns to formalise enrolment.

  5. Formal Enrolment: After the signed agreement is received, the student is officially enrolled and granted access to pre-course materials and the online learning platform.

  6. Course Start: The student begins classes according to the confirmed start date.

    • In-person courses at the UK Campus begin January 2026.

6.2 Adaptation Programmes (Healthcare and Hospitality)

  1. Application Submission: Applicants complete the online form or apply through an authorised FJICI agent and submit:

    • Passport copy

    • Academic certificates and transcripts

    • Curriculum Vitae (CV)

    • Motivation statement

    • Language test results (if available)

  2. Eligibility Review and Interview: The UK Operations & Compliance Officer reviews applications and schedules an interview for shortlisted candidates to assess motivation, readiness, and communication skills.

  3. Conditional Offer Letter: Eligible applicants receive a Conditional Offer Letter detailing the programme title, duration, location, tuition fees, and next steps.

  4. Payment of Fees: The applicant pays the required Application Fee, Enrolment Fee, and Tuition Fee as indicated in the offer letter.

  5. Student Agreement: Once payment is confirmed, FJICI issues the Student Agreement, which formalises admission and grants access to pre-departure materials.

  6. Formal Enrolment and Orientation: After receipt of the signed agreement, the student becomes officially enrolled and receives:

    • Formal Admission Letter

    • Access to the online platform and pre-departure training

    • Orientation schedule and academic calendar

  7. Programme Start: Classes begin according to the academic schedule.

    • For the Nursing Adaptation Programme in the UK, internship placements are subject to local regulations.


7. Roles and Responsibilities
7.1 UK Operations & Compliance Officer: Oversees academic and compliance aspects of admissions, conducts interviews, and reviews eligibility for Adaptation Programmes.
7.2 Campus Administrator: Manages application processing, communication with students and agents, and record keeping.

8. Fees and Refund Policy

  • All fees are outlined in the Institutional Fees & Refunds Policy and Fee Schedule.

  • All amounts are expressed in British Pounds (£).

  • Application and administrative fees are non-refundable.

  • Tuition fees are refundable under the following conditions:

    • 80% refund before the course starts

    • 50% refund within the first two weeks

    • No refund after two weeks

  • Internship fees are non-refundable once placement is confirmed.

  • Exceptional cases (visa refusal, medical emergencies) will be considered individually.

  • All refund requests must be submitted in writing to the Campus Administrator.
     

9. Record Keeping and Data Protection

  • All admissions records, interviews, and agreements are stored securely in digital format for a minimum of three (3) years.

  • Data handling follows FJICI’s Office Security, IT, and Information Handling Policy.

  • Access to admissions records is restricted to authorised personnel only.
     

10. Review and Continuous Improvement
This policy is reviewed annually as part of FJICI’s Quality Assurance Review Cycle.
Recommendations from staff, students, and auditors are used to improve transparency, fairness, and efficiency in the admissions process.
Findings from internal audits and stakeholder feedback are documented in the Quality Improvement Log.

Institutional Fees & Refunds Policy

1. Purpose
This policy establishes a transparent and consistent framework for the management of student tuition fees, payments, and refunds at the Falesia Jovial International Career Institute (FJICI).
It ensures fairness, accountability, and compliance with international quality and consumer protection standards by defining how fees are communicated, collected, and refunded.

2. Scope
This policy applies to:

  • All programmes offered by FJICI, including Language Courses and Professional Adaptation Programmes (Healthcare and Hospitality).

  • All applicants and enrolled students, regardless of study mode (online or in-person).

  • All FJICI staff involved in admissions, student administration, or financial management.
     

3. Policy Principles
FJICI is committed to the following principles:
3.1 Transparency: Clearly publishing fees and refund terms before enrolment.
3.2 Fairness: Ensuring students are charged only for services rendered.
3.3 Accountability: Maintaining auditable records of all payments and refunds.
3.4 Compliance: Aligning with international financial and consumer protection standards.
3.5 Consistency: Applying the same procedures to all students, irrespective of origin or delivery mode.

Part A – Fees
4. Fee Structure

FJICI charges fees according to programme type and duration.
The following components may apply:

  • Application Fee: Payable upon submission of the application; covers eligibility and processing. (Non-refundable)

  • Administrative Fee: Covers document verification and processing. (Non-refundable)

  • Enrolment Fee: Confirms a seat in the programme and grants platform access. (Refundable per Section 8)

  • Tuition Fee: Covers course delivery, materials, and academic support. (Refundable per Section 8)

  • Internship Fee: Applies to programmes including work placements. (Non-refundable once placement is confirmed)

Programme-Specific Payment Structure
4.1 Language Courses (English, German, French)

  • Online courses: Two instalments — 50% before course start and 50% before the second half of the course.

  • In-person courses (UK campus): Two instalments — 30% before course start (or arrival) and 70% no later than the end of the first week of classes.

4.2 Professional Adaptation Programmes (Healthcare and Hospitality)

  • Stage 1: Application Fee (upon submission, non-refundable).

  • Stage 2: Administrative Fee + Enrolment Fee + Tuition Fee (after acceptance).

  • Stage 3: Internship / Placement Fee (before internship and visa process).

All fees and payment stages are defined in the official Fee Schedule and detailed in the Student Agreement, both forming part of FJICI’s financial management framework.

5. Currency and Payment Methods

  • All institutional fees are denominated and payable in British Pounds Sterling (£).

  • Payments must be made via bank transfer or an authorised online payment system.

  • Students are responsible for any transfer, bank, or currency conversion fees.

  • Payment deadlines and details are stated in each student’s official invoice and Student Agreement.

  • All transactions are subject to data protection and financial record-keeping controls under the Falesia Jovial Group’s Office Security, IT, and Information Handling Policy.
     

6. Invoicing and Receipts

  • Invoices are issued by the Campus Administrator after acceptance.

  • Official receipts are provided upon payment confirmation.

  • Duplicate receipts or confirmation letters may be issued upon request.

  • Copies of invoices and receipts are retained in accordance with FJICI’s record management procedures.
     

7. Late or Missed Payments

  • Late payment may result in temporary suspension of class access or academic services.

  • Persistent non-payment may lead to withdrawal from the course without entitlement to refund.

  • Reinstatement requires payment of the outstanding balance.

  • Cases of persistent non-payment are reported to the UK Operations & Compliance Officer and recorded in the Quality Improvement Log if they impact service quality or compliance.
     

Part B – Refunds
8. Refund Eligibility

Refunds are processed according to the following conditions and apply to all active programmes (Language and Professional Adaptation):

  • Withdrawal before course start: 80% of tuition fee refunded

  • Withdrawal within first two weeks of course: 50% of tuition fee refunded

  • Withdrawal after two weeks of course: No refund

  • Application or Administrative Fees: Non-refundable

  • Internship Fee: Non-refundable once placement is confirmed

  • Exceptional circumstances (visa refusal, medical emergencies): Reviewed on a case-by-case basis
     

9. Refund Request Procedure

  1. The student submits a written request to admissions@fj-ici.com, indicating the reason and attaching supporting documents (e.g., visa refusal letter, medical certificate).

  2. The Campus Administrator reviews and verifies the request.

  3. Validated cases are approved by the CEO or authorised delegate.

  4. Approved refunds are processed within 30 calendar days via bank transfer to the payer’s account.

  5. A confirmation email is sent to the student once the refund is completed.


10. Record Keeping

  • All payment and refund records are securely maintained for at least three (3) years after the student’s last activity.

  • Records include applications, invoices, payment confirmations, and refund authorisations.

  • Files are stored electronically in accordance with the Office Security, IT, and Information Handling Policy.


11. Publication and Communication

  • The current version of this policy and the Fee Schedule are published on the official FJICI website and student portal.

  • Students are reminded of refund conditions before enrolment and again during orientation.

  • Staff must refer to the latest approved version of this policy when providing fee-related information or handling payments.
     

12. Review and Updates
This policy is reviewed annually by the Campus Administrator and Quality Assurance team, and approved by the Chief Executive Officer (CEO), to ensure continued alignment with institutional and international standards.
